JOB IDENTIFICATION:
Job Title: Accounts Receivable Associate
Grade: 6                                 
FLSA:  Non-Exempt

SUPERVISORY RELATIONSHIPS:
Reports to: Senior Accountant
Supervises: N/A

BASIC FUNCTION: The Accounts Receivable Associate is responsible for daily accounting procedures, refunds and processing program registrations.  Assist Senior Accountant and Director of Business with administrative tasks.

SCHEDULE: Monday-Friday, 8:30-5:00pm

ESSENTIAL DUTIES:
  1. Provide support, as needed, for ALC front registration desk during peak registration/enrollment periods and staff absences.
  2. Pick up paperwork and deposits from other facilities. Prepares deposits and deliver to bank.
  3. Review accuracy of front desk staff’s (across the district) daily cash journals, make correction.
  4. Updates Cash and ACH Deposit log with daily Cash Journal Activity generated from Rectrac.
  5. Prepare daily Pullovers from Rectrac to BS&A.
  6. Review and approve rental contracts prepared by ALC Receptionist prior to mailing.
  7. Monthly processing of installment billing– such as passes/memberships (fitness, aquatics, golf), swim school, Dance and AIM, preschool, camps and basketball. Update Installment billing stats.
  8. Oversee collections of declined installment billing transactions.
  9. Oversee monthly review of House Hold Trial balance report. Lead the collection of household debit balances and address credit balances. 
  10. Invoicing and collections for Theater rentals, Rand Park dog club, etc.
  11. Process all refunds such as program, facility and membership
  12. Assist with Spectrum entry and proofing within Rectrac.
  13. Maintain files and records.
  14. Prepare quarterly fuel distribution report and journal entry.
  15. Prepare monthly statistical reports on rental and reservation activity.

OTHER DUTIES:
  1. Assists in training staff on registration system and Business office processes.
  2. Assist accounts payable and have knowledge of check processing procedures.
  3. Follow all safety policies and procedures as outlined in the Park District Safety and Crisis Manuals.
  4. Perform additional duties as assigned.
  5. Member of a Park District committee as assigned.

POSITION QUALIFICATIONS:
Education: Associates degree or certification program requiring at least two years college level courses with and emphasis in business/accounting.

Experience: Two years related experience. Intermediate computer skills.

Software: Moderate computer experience; Excel and Word processing experience required; Vermont Systems Rectrac, a plus.                                                     

Certifications:  CPR and First Aid Certification, Classes available through Park District; Valid Illinois Driver's License

NOW HIRING:  Marketing Manager (Full-Time)

JOB SUMMARY: Under the direction and supervision of the Executive Director, the Marketing Manager is responsible for the daily management of a part-time marketing team and the District’s marketing, communication, and promotional efforts as well as partnership/sponsorship development.

CORE RESPONSIBILITIES:

Regularly update and maintain the District’s website with current information; enhance                web site with communication and registration capabilities; monitor web site usage through          web host statistics

Develop and maintain a master calendar of events and promotions

Work with departments planning and managing marketing budgets

Plan, organize, and disseminate public information for all Park District facilities, special                events, and recreation programs through a variety of  communication medias

Under the supervision of the Superintendent of Recreation, coordinate production of the              seasonal brochure; manage content, layout, and design; prepare brochure for printing; and          coordinate sale of ad space

Work with department heads to develop, execute, manage, and measure marketing plans          for all facilities, programs, and events

Assist with development of public and/or private program survey/evaluation instruments,              review responses, disseminate information, and prepare reports on results

Solicit, develop, and maintain long-term, multi-tier relationships with local businesses to              generate sponsorship revenue for the Park District

Maintain schedule flexibility during peak times or as staffing requires 
 

LOCATION:  Tony Bettenhausen Recreation Center, 8125 W. 171st St, Tinley Park
 
QUALIFICATIONS:  This candidate must possess strong organizational and problem-solving skills, as well as exceptional communication skills – both oral and written; knowledge of marketing principles, fiscal procedures, and management techniques; knowledge of program budgeting and administration; working knowledge of current software programs used by the district as well as other marketing software products. 

A Bachelor’s Degree in Marketing, Communications, Public Relations, or Journalism is required. Three to five years related experience in Marketing or Public Relations is also required. Knowledge of desktop publishing programs, especially Adobe Creative Cloud, is preferred. Ability to obtain/maintain CPR certification is required.

INCENTIVES:  The salary range for this full-time position begins at $48,000 DOQ. JOB SUMMARY: The Facility Supervisor is responsible for the supervision of the Tony Bettenhausen Recreation Center in the late afternoon and evening hours.  This supervision includes that of the custodial staff, gym attendants, and the agency operations at that time of day.  The Facility Supervisor will also maintain room rentals and dog park memberships. Hours of coverage expected are 1:00-9:00pm or 2:00-10:00pm depending on the season and will include some weekends and holidays.
 
LOCATION:  Tony Bettenhausen Recreation Center, 8125 W. 171st St, Tinley Park
 
QUALIFICATIONS: Minimum of an Associate Degree in Recreation Management, Facility Operations, or related field is preferred. Supervisory experience or an equivalent is required. Attention to detail, problem-solving expertise, and the ability to articulate well in both verbal and written form is required as well as the ability to work with minimal supervision.  Must obtain/maintain CPR Certification within 3 months of hire date with intentions to obtain a CPR Instructor Training Certificate within the first year.  
 
INCENTIVES:  This full-time position requires flexibility to work weekends and evening hours.  Salary range begins at $46,000/annually DOQ. The Finance/Accounting Assistant operates under the direct guidance of the district's Finance Director.  They are responsible for handling technical accounting tasks skillfully, ensuring timely and accurate financial records. Additionally, they play a vital role in collaborating with key individuals within different district departments and external agencies. 

This is a full-time position offering comprehensive benefits, including health, dental, vision, and life insurance, as well as IMRF pension.  Additionally, full time employees receive paid time off and access to gymnasium facilities, swimming pools, golf amenities, and discounted programs.
 
This role is office-based and does not offer remote work options.  Work hours are 8:30 AM to 5:00 PM, Monday through Friday.

ESSENTIAL FUNCTIONS:
  • Balances daily cash receipts and prepares deposit.
  • Prepares deposit spreadsheet to assist Finance Director in month end balances. 
  • Prepares monthly bank reconciliations.
  • Prepares, files, and investigates sales tax by monthly deadline.
  • Maintains finance office files.
  • Assists Finance Director in other projects as assigned.
  • Responsible to uphold the district’s commitment to safety by participating in safety programs/seminars, promptly reporting accidents and hazardous conditions to supervisor, and complying with the district’s safety policies as presented in the Personnel Policy Manual. Also, may be assigned to participate as an active member of the Safety Health Insurance Risk Team. 
  • Reconciles monthly bank accounts and verifies bank balances with the general ledger.
  • Assists in audit preparation as directed.
  • Oversees district cash controls.
  • Prepares daily deposit of cash receipts.
  • Handles accident/workman’s comp reporting to Park District Risk Management Agency.
  • Performs accounts payable and payroll in absence of staff.
  • Handles all health, dental, and life insurance questions regarding plan and claims.
  • Other duties as assigned.

QUALIFICATIONS:
  • Knowledge and skill with an associate degree in accounting or finance preferred.
  • One-year prior experience in accounting required. Must have typing and computer skills. Demonstrated ability to plan is essential.
  • Current valid driver's license necessary.
