Membership Services Supervisor

Reports To: Assistant Superintendent of Recreation-Norris Recreation Center Supervisory Duties: Part-Time Employees Employment Category: Full Time Exempt

Job Summary – About the Role By working closely with your supervisor in this hands-on role you will have the opportunity to shape the physical appearance and programming of Norris Recreation Center into a high quality amenity for the benefit of residents, visitors and the St. Charles community.

Knowledge, Skills & Experience This position is well suited for someone with a friendly and positive personality who is productive and shows initiative, is an effective written and oral communicator, is reliable and safety-minded.

Understanding of organizational methods, customer and public relations skills. Basic knowledge of financial management techniques and computer functions. Understand the Park District finances and the ability to apply and interpret the knowledge in practical situations related to membership functions.

A four-year degree in Recreation Administration, Leisure Studies, Business/Marketing or related field is required. One to three years of experience and some supervisory and/or facility management experience in account management, customer service and sales in the Parks and Recreation profession or a related field. CPRP and Certified Fitness Professional or ability to become a CPRP is preferred. A valid Illinois State Driver’s License is required. Maintain current CPR/AED/First Aid Certification or obtain certification within six months of hire.

Essential Functions of the Position Park District Competencies o Follow all departmental safety rules that pertain to the duties performed and support all aspects of Park District’s safety and risk management program. o Work cooperatively and collaboratively with residents, colleagues, the public, PDRMA and other agencies or organizations as delegated. o Recommends improvements and efficiencies to better accomplish individual and district goals in the best interests of the St. Charles Park District community. o Comply with park district policies and administrative procedures. o Effectively communicate both orally and in writing.

Responsibilities o Oversee and monitor daily operation of membership services transactions, paperwork, and household accounts. o Oversee and monitor daily operations of Child Care Center and related programming. o Oversee the Personal Training and Massage Therapy Departments. o Develop, maintain, and enforce new and established policies and procedures for assigned departments. o Responsible for Guest Service Associates and Child Care Attendant Scheduling. o Provide instruction in First Aid, CPR, and AED to colleagues. o Aid in maintaining facility and equipment cleanliness and productivity, contacting appropriate personnel. o Assist in logistics and promotion of group fitness classes, personal training, and massage therapy services. o Update and maintain facility website, Facebook page, and REACH TV. o Accurately enter and adjust data in all computer software programs. o Handle and manage money in an efficient and responsible manner.
o Accurately proof brochure information and other printed materials. o Prepare and disseminate membership information and written correspondence. o Respond to all member, guest, and employee concerns in prompt, professional and courteous manner; keeping Assistant Superintendent of Recreation informed. o Assess needs of membership operations and recommend modification to existing computer functions. o Assist with development of goals and objectives for membership functions, fiscal management procedures, and facility programming. o Assist with emergency procedures and building evacuation. o Purchase supplies and equipment as needed per Park District policy o Initiate and accept assignments

Administrative o Prepare and submit records and reports including department payroll, cash receipts, refunds, and others as requested. o Monitor and coordinate fiscal control procedures for facilities, memberships, and recreation programs. o Train and supervise employees with respect to membership services and fiscal control functions. o Exercise supervisory authority in the absence of Assistant Superintendent of Recreation.

Supervisory o In consultation with your immediate supervisor, exercise supervisory authority and judgement on an on-going basis related to subordinate employees reporting directly to you, in matters including development of job descriptions, hiring, lay-offs, compensating within approved budgeted parameters, and, disciplinary action, up to and including termination, in compliance with Park District policies and procedures. o Exercise independent supervisory authority and judgement on an on-going basis related to subordinate employees reporting directly to you, in matters including, but not limited to employee trainings, scheduling, assigning, directing and overseeing completion of work assignments and employee performance evaluation.

Marginal Functions of the Position or Role o Assist with conducting special events. o Assist with special projects. o Assist at the Guest Services desk. o Perform all other duties as assigned.
