Assistant Superintendent of Maintenance
The Grove National Historic Landmark

JOB SUMMARY: Responsible for leading staff and overseeing daily management of The Grove National Historic Landmark and Air Station Prairie, including indoor & outdoor maintenance, repairs, housekeeping, restoration and landscaping. Direct supervision of full-time employees, part-time staff, volunteers and community service workers. This role is also responsible for managing after hours emergency responses. Duties include, but are not limited, to:
  • Respecting and protecting facility resources including historical buildings and artifacts, and native and endangered plant species. The site has 154 acres and 3 miles of trails. Following National Historic Landmark and Illinois Nature Preserves Commission guidelines.
  • Performing and overseeing daily operations such as: 
            o    Housekeeping
            o    Program and event set-up and tear-down
            o    Routine inspections
            o    Facility maintenance, repairs and upkeep
            o    Construction projects, as needed
            o    Landscaping and natural area restoration activities
            o    Seasonal duties (snow removal, salting etc.)
            o    Trash collection and disposal
            o    Building security and safety
  • Developing and implementing preventative maintenance program
  • Overseeing contractors and vendors and ensuring that services are properly completed and correctly billed in accordance with contracts and work orders
  • Overseeing daily program and special event preparation and implementation as needed
  • Purchasing equipment and supplies and maintaining a control system and inventory 
  • Monitoring usage and costs associated with utilities and assisting in development of plans for energy conservation, cost control and material recycling
 
QUALIFICATIONS: Associate’s degree in a building, trade or related field and at least 5 years of relevant experience required (will consider significant experience in lieu of education). Supervisory experience and strong mechanical aptitude including use of tools and machinery required. Please note that this position requires working outdoors in all weather conditions, using grounds equipment and regularly lifting 40 pounds and as such candidates should have sufficient strength and mobility to complete duties. Professional certifications desired; valid IL Driver’s License required. 
 
SCHEDULING & PAY: This is a full time exempt (salary) position. Typical schedule is Monday – Friday, 8:00am – 4:30pm with ability to work nights and weekends based as needed for operational job tasks. Target hiring rate: $86,000 and up depending on qualifications.

SUMMARY: The Financial Administrative Assistant is responsible for performing a variety of administrative duties with a concentration in financial responsibilities that assist the Superintendent of Finance/Human Resources and the Executive Director. This position will require a thorough knowledge of all or nearly all the District’s programs, facilities, policies, and procedures. This position is full-time with benefits.

QUALIFICATIONS: A minimum of two-years’ experience in finance or business administration. The position requires customer service experience, excellent communication skills and knowledge of computer use specifically including, but not limited to Microsoft Word, Excel, Adobe, and Rec Trac. They must pass a criminal background check, and CPR certified or ability to obtain within 60 days of hire. Proficiency in both English and Spanish is desirable.

IMMEDIATE SUPERVISOR: The Financial Administrative Assistant is under the direction of the Superintendent of Finance and Human Resources and/or the Executive Director, depending on duties assigned.

ESSENTIAL FUNCTIONS:

  1. Accounts Payables (details attached)
  2. Bank deposits, daily cash (details attached)
  3. Prepare Ledger postings for accountant reconciliation. (details attached)
  4. Oversee and administer the Memorial Program (includes benches, trees, and bricks) - Coordinate with park maintenance staff to order and install as well as Patron to advise the item is installed.
  5. Dog Park Passes – Coordinate appointment to begin process and follow-up
  6. Responsibly and accurately handle cash, checks or credit card payments for programs, maintain a balanced cash drawer and process a balanced deposit, utilizing RecTrac.
  7. Become a Notary for park business only.
  8. Process registration for participants in the District’s programs utilizing RecTrac.
  9. Complete opening/closing procedures for facility.
  10. A thorough knowledge of all current programs is necessary as well as any promotional events the District will be participating in.
  11. A general awareness of the working environment should be maintained, ensuring that the work environment be clean and presentable.
  12. Other duties as assigned.
 
DESIRED KNOWLEDGE, SKILLS, AND TRAITS:
1.       Excellent customer service skills (internal and external customers)

MARGINAL FUNCTIONS:

PSYCHOLOGICAL CONSIDERATIONS: The Financial Administrative Assistant may feel added pressure from the volume of calls, walk-ins, emails about programs and special events. The Financial Administrative Assistant must remain calm and continuously share Park District information with patrons. The Financial Administrative Assistant must be a good problem solver and continually develop creative responses to problems.
 
PHYSIOLOGICAL CONSIDERATIONS: The Financial Administrative Assistant must be able to bend, stoop, lift items weighing up to 30 pounds, turn, sit, and stand for short or extended periods of time.
 
ENVIRONMENTAL CONSIDERATIONS: The Financial Administrative Assistant may be exposed to elements when assisting with outdoor functions. Most activities are performed indoors; these conditions may include lighting and extreme temperatures
 
COGNITIVE CONSIDERATIONS: The Financial Administrative Assistant must exhibit good problem-solving ability and good judgement in keeping with the mission of the Park District. The Financial Administrative Assistant must be in good compliance with the loss prevention and safety policies of the Park District.

 ADDITIONAL INFORMATION:
Accounts Payables
1.       Work with vendors regarding issues regarding outstanding invoices and existing credits 
2.       Work with staff, implementing purchase order system as well as ensuring their purchasing is being approved by their superintendent and appropriate cost is being paid for materials 
3.       Talk with managers to make sure every credit card transaction has appropriate back up and reasoning as to why purchase was made and what account the amount is to be credited too
4.       Input invoices and vendor information into MSI to generate payable batch for check run 
5.       Run pre-check run edit and prepare documentation for Superintendent of Finance and Executive Director to review and approval for check run
6.       Upon approval, checks are printed and posted to the general ledger and updating system files 
7.       Checks are then prepared for commissioners to sign and review 
8.       Once checks are signed, checks are mailed out and the paperwork is filed accordingly in payables. 

Daily Cash & Bank Deposits

9.       Collect money and cash journal reports from each of the facilities.
10.    Ensure that every employee who dealt with money on set date has completed a cash journal report; if not, track employee for reasoning as to why they did not 
11.    Review and verify the amount of money attached to each journal is correct and matches the GL report on RecTrac for specific date. 
12.    If any money is missing or incorrect, contact employee who took the transaction for clarification 
13.    Once the total cash, check, credit card and scholarship money equal amount to the GL, create daily deposits for the Financial Administrative Assistant or Superintendent of Finance and HR to take to the bank.

Prepare Ledger Postings For Reconciliation 

14.    Interface each date of the month in RecTrac and MSI, generating cash receipt upload distribution. 
15.    Prepare all proper backup for each date, which includes the GL for the date and every employee’s cash journal report with signature for approval in the amount of money received, give all paperwork to Superintendent of Finance to post.
16.    Once posted, create daily cash reconciliation sheet per date.
17.    Take original packet and upload to the corresponding shared file and then put packet into corresponding binder for auditors.

The Opportunity: We have an opening for the Manager on Duty role at the Recreation Center/4500 Fitness Center! The Manager on Duty is responsible for the management of the building operations in the absence of the Assistant Superintendent of Recreation during their regular shift. The Manager on Duty provides excellent customer service to guests by greeting visitors and answering inquiries, processes all fitness related transactions, and supports and coordinates the programs of the Recreation Center.

A Day in the Life: 
  • Close the Recreation Center building during each scheduled shift
  • Follow building schedule to set up and take down equipment for programs and rentals
  • Ensure all programs and activities in the facility are operating in an efficient, safe and professional manner
  • Sell and accurately complete fitness transactions such as daily passes, punch passes, personal training sessions and fitness memberships
  • Conduct daily building inspections for cleanliness to ensure the Recreation Center is meeting District expectations including stacking weights, thorough and regular cleaning of equipment and fitness area, and tidying up the exercise area
  • Perform custodial and maintenance duties, as needed, to assist the Recreation Center custodian or in the absence of the custodian, including restocking restrooms, removing garbage, cleaning spills, cleaning windows, minor snow removal, and reporting maintenance repair needs
  • Enforce all facility rules in a professional and polite manner
  • Answer guest questions in a friendly manner and ensure that members and guests scan at the front desk prior to using the facility
  • Respond to guest concerns and resolve differences that arise between patrons and/or District employees
  • Actively respond and lead staff and patrons during emergencies such as: fire, weather, conflict, or injuries
 
About you: 
  • High School Diploma, preferred
  • Previous experience working in a Park District, Recreation or Athletics facility, preferred
  • Must have excellent interpersonal and communication skills
  • Able to perform physical activities which requires moderate to frequent lifting, standing, balancing, walking, bending, stooping, and handling materials
  • Able to work with computers and systems to set up functions, enter data, and process information
  • CPR/AED and First Aid Certification is required (Park District will train)

Qualifications: 
Graduate from an accredited college or university with a BS/BA degree in recreation and parks administration or related field. Duties:
Under the direction and supervision of the Director of Recreation, the Facility Manager is responsible for security, customer service, and cleanliness of both Bolingbrook Park District community centers: Annerino Community Center (ACC) and Bolingbrook Recreation and Aquatic Complex (BRAC). The Facility Manager is also responsible for facility staff, rentals, and open play activities at ACC and BRAC. The Facility Manager is also responsible for the recruitment, hiring, training, supervision, evaluation, and provide disciplinary action when necessary for all full time and part time staff. Responsible for planning, staffing, promoting, implementation, and evaluation of programs, events and rentals. Create, implement, manage, and evaluate management procedures for both community centers. Manage all facility operations for safety and quality, submitting work orders as need and coordinate these needs with building staff building maintenance staff. Manage all aspects of rentals, open play and meeting rooms.  

Candidates must have:
Ability to recognize public safety concerns and the initiative to act upon them to ensure a safe environment. 
Familiarity with sports, facility, and fitness equipment and it’s care. Ability to learn and understand emergency paging system in accordance with Emergency Action Plan. Ability to learn security surveillance software. Ability to establish a positive rapport by using tact and discretion with patrons and staff.

Other duties include: review and edit park district brochure pages for each season and monthly open play schedule. Prepare and administer the annual budget for the operation of both community centers. Prepare and submit daily, monthly, quarterly and annual reports as required. Prepare and maintain records of facility operations, usage, occupancy, and scheduling for reference in future years. Teach and train Emergency Operations Management Plan with staff in preparation for any and all emergencies. Train all staff and hold them accountable to act as the facility lead when an Emergency Action Plan is implemented, complete all required paperwork, and contact supervisor immediately following emergency situation. Ensure compliance with safety, health and loss control policies and procedures of the District. Collaborate with the Marketing Team to promote facility and program opportunities.  Represent the Recreation and Facilities Team as a member of the Safety Committee.  Day to day operations require collaboration with program managers/supervisors and the Customer Care Manager. Abide by the Bolingbrook Park District dress code for your area. Perform all job tasks within the rules and guidelines of the Park District’s safety program. Work as a team player with co-workers and in conjunction with other departments.
